How to Choose a Party Rental Company: 10 Things to Check

Updated · Reading time approx. 3 min

Whether you’re renting a bounce house for a birthday or tents and tables for a graduation party, the company you choose matters as much as the equipment. A good rental company shows up on time, sets up safely, puts everything in writing and is easy to reach if something changes. Here is what to check before you commit.

1. Insurance and certificate of insurance

Ask whether the company carries general liability insurance. If your event takes place at a park, school, church, HOA common area or event venue, the venue will often require a certificate of insurance (COI), sometimes naming the venue as additional insured. A reputable company can send one quickly. If a company hesitates or doesn’t carry insurance, that’s a red flag.

2. State rules and inspections

Some states regulate inflatable amusement devices, for example through inspections, registration or insurance requirements. The rules differ from state to state, and complying with them is the provider’s responsibility. It’s still fair to ask: “Are your inflatables inspected or registered as required in our state?”

3. Reviews and reputation

Read recent reviews and look for patterns rather than single comments. Pay attention to how the company responds to complaints.

  • Were deliveries on time?
  • Was the equipment clean and in good condition?
  • Did the crew set up properly and explain the rules?
  • How did the company handle bad weather or cancellations?

4. Clean, well-maintained equipment

Ask how and how often the equipment is cleaned and inspected. Real photos of the actual units – not just stock images – are a good sign. On delivery day, have a quick look: no visible tears, working blower, clean surfaces, complete anchoring equipment.

5. A clear written contract

Get the key terms in writing before you pay a deposit. A good rental agreement lists:

  • The exact items and units, with dimensions
  • Event date, address, delivery window and pickup time
  • Total price with every fee (delivery, setup, damage waiver, cleaning, tax)
  • Deposit amount and payment schedule
  • Weather and cancellation policy
  • Your responsibilities as the renter (supervision, rules, power, damage)

6. Weather and cancellation policy

In outdoor party rentals, weather is the most common reason for changes. Ask before you book: Can you cancel or reschedule if rain or high winds are forecast? Until when? Do you get a refund, a credit or a rain check? Who decides on the day whether it’s safe to set up – and what happens if the crew refuses to set up because of wind?

7. Deposit and payment

A deposit to hold your date is common. Ask how much it is, whether it’s refundable, and under which conditions. Clarify when the balance is due (before, on or after delivery) and which payment methods the company accepts. Always get a receipt.

8. Delivery window and setup

Party rental companies often run many deliveries on a busy Saturday, so they usually give you a delivery window rather than an exact time. Ask how early the equipment arrives before your party starts, when it will be picked up, and whether overnight rental is possible. Tell them about stairs, gates, slopes and the setup surface so they bring the right equipment and crew.

9. Service area and communication

Check that your address is inside the company’s service area and whether delivery outside it costs extra. Note how quickly and clearly the company answers your inquiry – it’s a good preview of how reachable they’ll be on party day. Get a phone number you can call on the day of the event.

10. Compare total prices, not just headlines

A low rental price can be offset by high delivery fees, a mandatory damage waiver or an expensive cleaning fee. Ask several local companies for a full quote and compare the totals, along with what’s included.

Frequently asked questions

What should I ask a party rental company before booking?

Ask about insurance and a certificate of insurance, the delivery window and pickup time, the total price with all fees, the deposit, and the weather and cancellation policy. Get the key terms in writing.

What is a COI and why does my venue want one?

A certificate of insurance (COI) shows that the rental company carries liability insurance. Parks, schools, HOAs and venues often require one, sometimes naming them as additional insured, before they allow rental equipment on site.

What happens if it rains on my party?

That depends on the company’s weather policy. Many offer a reschedule, credit or rain check if bad weather is forecast, but terms vary. Ask before you pay a deposit and get the policy in writing.

Does HOPS24 check the rental companies?

HOPS24 connects you with local providers, but the rental agreement is between you and the provider. The provider is responsible for its equipment, insurance and state rules – which is why it’s worth asking the questions in this guide.
